At Luxerova Alpine Casino Lodge, we understand that plans can change. Our cancellation policy is designed to be fair and transparent while allowing us to manage our reservations effectively. Please review this policy carefully before making your reservation.

Different cancellation terms apply depending on the room type, rate plan, season, and length of stay. The specific cancellation policy applicable to your reservation will be clearly displayed during the booking process and in your confirmation email.

Standard Cancellation Policy

For most standard reservations, the following cancellation policy applies:

Non-Peak Season (April to November, excluding holidays)

  • More than 7 days before arrival: Full refund
  • 3-7 days before arrival: 75% refund
  • 1-2 days before arrival: 50% refund
  • Within 24 hours of arrival or no-show: No refund

Peak Season (December to March and holidays)

  • More than 14 days before arrival: Full refund
  • 7-14 days before arrival: 75% refund
  • 3-6 days before arrival: 50% refund
  • Within 72 hours of arrival or no-show: No refund

Flexible Rate Options

We offer flexible rate options that provide more generous cancellation terms for an additional fee:

Semi-Flexible Rate

Available for an additional 10% of the room rate:

  • More than 48 hours before arrival: Full refund
  • Within 48 hours of arrival or no-show: No refund

Fully Flexible Rate

Available for an additional 20% of the room rate:

  • More than 24 hours before arrival: Full refund
  • Within 24 hours of arrival or no-show: 50% refund

Special Event and Holiday Periods

For reservations during special events, holidays, and peak winter weekends (including but not limited to Christmas, New Year's, Presidents' Day weekend, and Spring Break), stricter cancellation policies apply:

  • More than 30 days before arrival: Full refund
  • 14-30 days before arrival: 50% refund
  • Less than 14 days before arrival or no-show: No refund

These special event periods will be clearly marked during the booking process.

Group Bookings

For reservations of 5 or more rooms, our group booking cancellation policy applies:

  • More than 60 days before arrival: Full refund of deposit
  • 30-60 days before arrival: 50% refund of deposit
  • Less than 30 days before arrival: No refund of deposit

Group bookings require a 25% deposit at the time of booking, with the balance due 30 days prior to arrival.

Membership Package Reservations

For Winter Membership package reservations, the following cancellation policy applies:

  • More than 45 days before arrival: Full refund
  • 21-45 days before arrival: 75% refund
  • 7-20 days before arrival: 50% refund
  • Less than 7 days before arrival or no-show: No refund

Weather and Travel Disruptions

Winter Storm Clause

In the event of severe winter weather conditions that result in:

  • Official road closures on major access routes to Luxerova
  • Government-issued travel advisories recommending against travel to our area
  • Airport closures affecting your travel to Luxerova

We may offer the following options:

  • Reschedule your stay within the next 12 months with no change fee
  • Credit the full amount of your stay for future use within 18 months
  • In extreme cases, a full refund may be offered at management's discretion

Documentation of travel restrictions may be required. This clause does not apply to normal winter conditions or minor weather events.

Other Extenuating Circumstances

For other extenuating circumstances such as illness, family emergencies, or flight cancellations, we review cancellation requests on a case-by-case basis. Supporting documentation may be required, and solutions may include rescheduling or partial refunds.

Modification Policy

Modifications to existing reservations are subject to availability and potential rate changes:

  • Date changes: Treated as a cancellation and new booking under the applicable policies
  • Shortening stay: Subject to the cancellation policy for the nights removed
  • Extending stay: Subject to availability and current rates
  • Room upgrades/downgrades: Subject to availability and potential rate adjustments

Refund Processing

Eligible refunds will be processed to the original form of payment within 7-10 business days. Please note that it may take additional time for the refund to appear in your account, depending on your financial institution.
